The first is whether the venue will allow it. We would rather find that out 6 weeks before your event than on the day, so send us the venue name when you book and we will speak to your coordinator directly if that helps. The questions that matter are whether a vehicle can be on the property at all, how wide the doorway is if the moment is indoors, and what the surface is between where a trailer can park and where the rickshaw is needed.
The second is timing. An entrance takes about 90 seconds. Everything around it, the unload, the route walk, the waivers and the dressing, takes about 45 minutes, which is why we arrive that far ahead. Nothing on the day should be a rush, and if your run of show slips, the vehicle is already there and waiting rather than still on a trailer.
The third is weather. The rickshaw has a covered convertible top, so light rain is not a problem. For severe weather, meaning lightning, high winds or flooding, we work with you to reschedule at no penalty to either side. Your safety and your guests safety come before the photo.

Pick a package, enter the venue address, the date and the venue window on the booking page. The site checks the date against the calendar and returns one total, travel included. There is 1 rickshaw and it does 1 event at a time, so an unavailable date is shown as unavailable rather than quoted.
The full agreement is on screen before you pay anything, with your event date, your venue window and your total already filled in. You sign it by typing your name. A copy is emailed to you and is downloadable from your confirmation page afterwards.
A 50% deposit is taken by card at signing and that is the moment the date is held. If the event is inside 14 days there is no balance to schedule and the full amount is due at signing instead. Your confirmation email carries the booking details and a calendar file.

Rider waivers are signed before anyone gets in, up to 5 riders and nobody standing. The entrance runs on your cue at walking pace, with your music playing. Our operator drives; you are never handed the keys and you are never responsible for the vehicle.
For the rest of your booked window the rickshaw is parked where you want it, dressed, with the music on, and guests photograph themselves in it. This is usually where most of the pictures come from, because the entrance is 90 seconds and the window is hours.
At the end of your window we load the vehicle back onto the trailer and clear the space. If the event ran past the window, overtime is charged per 30-minute increment at 1.5 times the hourly rate to the card on file, and we tell you before the clock runs over rather than afterwards.
We are direct about this so nothing is a surprise on the day. The rickshaw is not street legal in Texas, so it never drives on a public road and it cannot carry anyone from one address to another: no church to reception, no hotel to venue. It seats up to 5 in total and nobody rides standing. We do not supply a photographer or a printer, so if you want printed strips you need a photo booth as well as us. And we do not run in severe weather.
Cancellations are a full refund of the deposit 14 or more days before the event, 50% of the deposit 7 to 13 days out, and no refund inside 7 days. All cancellations have to be in writing. Date changes depend entirely on whether the new date is open, since there is only 1 vehicle, so ask as early as you can.
