Only what a booking needs, and only when you type it in.
Payments are processed by a third-party payment processor. The card fields on our checkout are served by them, not by us, so your card number, expiry and security code never touch our servers and are never stored in our database. Your deposit is charged when you sign. Unless your booking is inside the 14-day window, in which case it is charged in full, the remaining balance is charged to the same card 14 days before your event, exactly as the agreement you signed says.
Public pages of this site may load Meta's advertising pixel so we can tell which ads produce real inquiries. What it sends is the event name and, where there is one, a dollar value: a page view, a lead, the start of a checkout, a purchase amount. It is not given your name, email address, phone number or venue address.
It is blocked entirely on the admin console, the referral partner portal, your booking confirmation page, your personal booking link and any quote link, because those addresses carry keys to your own booking. You can also limit it at the browser or device level with tracking protection or an ad blocker, and through your own ad settings with Meta. Meta's policy is at facebook.com/privacy/policy.
The venue address box uses Google Places. What you type is sent to our server, which asks Google for matching places and hands back the suggestions. When you pick one, Google gives us its coordinates, and those are what we price travel from. Google's policy is at policies.google.com/privacy.
We use ordinary vendors to run the site and nothing more: a hosting provider, a managed Postgres database, a payment processor, an email delivery service, Google for address lookup and mapping, a file store for photos, and Meta for advertising measurement. Each one sees only what its job requires. We do not sell your information to anyone.
Bookings, signed agreements and payment records are kept as business and tax records for as long as we are required to keep them, because they are the proof of what was agreed and paid. Inquiries are kept while we are working them and for a reasonable follow-up period after. Abandoned checkout rows hold your name, email, phone and event choices, never a card, and are closed automatically once the date passes or you opt out.
Email hello@therickshawaffair.com to see what we hold about you, correct it, or ask us to delete it. We will do that except where we have to keep a record, such as a signed agreement or a payment we are required to account for. Recovery emails carry their own opt-out link, and the pixel can be blocked in your browser.
This site is meant for adults booking an event and is not directed at children under 13. We do not knowingly collect their information.
This policy is governed by the laws of the State of Texas. We may update this page as the site changes, and the effective date at the top will change with it. The terms of your booking are the ones in the rental agreement you signed, not this page. Questions go to hello@therickshawaffair.com.
